Withdrawal from a group program is common, but it affects five things at once: the participant’s condition, documentation of what he attended, his financial balance, his seat in the group, and the course report. A system that treats some of it and leaves some of it creates a gap that is discovered upon closing.

This operational model needs

A documented withdrawal path ends a person’s participation without deleting their trace: what they attended remains recorded, what they paid is settled by your policy, their seat is no longer available, and the session report reflects what happened, not what was planned.

Jobs that deserve priority

  • Registering withdrawal due to: By decision of the participant or team, with its date.
  • Survival date: The sessions he attended, their documentation, and his evaluations remain in his file.
  • Seat release: To be available for the waiting list if the program accepts late joiners.
  • Financial settlement: With your policy — partial refund, credit note, or nothing — with the account displayed before approval.
  • Impact on the group: Update capacity and attendance without modifying previous documentation.
  • Course Report: Distinguishes between who completed, who dropped out, and when — an important indicator of the program itself.

Suitability review practical scenario

  • Record participant withdrawal after three sessions: Was a reason and date requested?
  • Open his file: Were the three sessions preserved and documented?
  • Check his balance: How was the settlement calculated? Was it presented before approval?
  • Open the assembly: Do you release the seat? Has the documentation of previous sessions been affected?
  • Request Course Report: Did the dropout appear separate from the completers?
  • Add a new participant to their seat: Is it clearly starting from the current session?

Scope options and access limits

  • Do not delete: Withdrawal does not erase what happened — documentation remains a professional record.
  • Privacy after withdrawal: The person who withdraws does not see what happened in the group after him, and the group is not informed of the details of his withdrawal.
  • Reason for withdrawal: May be professional information worthy of individual follow-up — not just an administrative field.
  • Withdrawal frequency: Its increase in a particular program is an indicator of the program, not the participants.

The next step is to request a suitable offer
