PsychFlow Mental Health Clinic & Counseling Management System

Mental Health Clinic & Counseling System Pricing

Get a quote for a psychiatric system that fits your branches, users and requirements, with clear details for implementation, training, integration and support. We don’t offer a fixed price list because a practice project with two practices is not the same as a group project with three branches, data migration, and financial integrations — and the published number in this case misleads both parties.

What you will get in the offer
  • Detailed items not a single lump sum.
  • Clear separation between starting fees and recurring fees.
  • A separate item for each external service you consume.
  • The cost of expansion is known before you expand.
  • Formula is comparable to other providers’ offerings.

How is the system price determined?

The quote is based on eight factors. Knowing this in advance helps you double: estimate your budget before the meeting, and compare providers’ offers on a one-to-one basis rather than comparing numbers that don’t mean the same thing.

Number of Branches The branch is a setting within the system, but it affects the configuration and training effort.
Number of Users Usually the biggest factor: practitioners, reception, supervision, administration and finance.
Run option Hosting method and data location requirements if your facility has a specific policy.
Data migration The number of files, their sources, their consistency, and the size of the attachments to be transferred.
Integrations Payment, messaging, video, accounting, electronic billing and insurance.
Customization Beyond standard setup: special paths, forced reports, custom screens.
Training The number of trainees, their roles, training sessions, and the distribution of teams across sites.
Support Level Coverage times, response times and agreed support channels.

What should the presentation explain?

A good presentation separates cost into three different behavior types. Mixing it up in a single number is what makes a project look cheap in the first year and expensive in the third.

One-time fee

Setup and configuration, data migration, training, and any special development agreed upon. It is paid at the implementation stage and is not repeated.

Details in Implementation & Migration.
Recurring charges

System subscription, support level, updates and hosting. Relatively fixed and varies with the number of users or level of service.

You should know its value for the second year before signing.
Depreciation costs

Reminders, video minutes, payment gateway processing fees, and storage. It grows with the growth of your activity, not with time.

Independent items in Integrations.

A checklist for any offer you receive

Use it with our offer and with the offers of others – a fair comparison is in your interest and in the interest of those whose offer you trust:

  • Are the features included in the starting scope written by name?
  • Are the fees itemized as one-time, recurring and variable with consumption?
  • What happens to the price when you add a user, branch, or service?
  • Are updates included or a separate item?
  • What exactly is the support level: its times, channels and response time?
  • How do you recover your data if you decide to terminate the contract? In what form?
  • What is the duration of the contract and the conditions for renewing and amending it?

Contract options available

There is no contract model that is better than another, but rather a model that is more appropriate for your situation. A small entity usually prefers a light periodic commitment, and a large entity may need an arrangement that serves its financial cycle and regulatory requirements. We discuss both options and recommend which one is right for you, and the licensing, upgrade, support and hosting terms are detailed in the commercial offer.

Periodic commitment

Subscription renewed

Is best suited for facilities that want a quick start and lower initial cost.

  1. Lower start-up fee for a recurring commitment.
  2. Updates and support are included within the subscription depending on its level.
  3. Flexibility to adjust the number of users as the number grows.
  4. Is suitable for clinics and centers starting their digital transformation.
Reviews: The cost of the third year Not only the first.
Institutional arrangement

A contract that serves the entity’s requirements

Is best suited for entities with a purchasing cycle or special operating requirements.

  1. An arrangement consistent with the budget and appropriations cycle.
  2. Operating and hosting options that suit the entity’s policy.
  3. Specific support levels and service agreements.
  4. Is suitable for governmental and semi-governmental groups and agencies.
Reviews: License and Update Terms Clearly.
Request data recovery clause in every offer. How will your data be released if you terminate the contract, in what format, within how many days, and at what cost? A provider that does not answer this clearly links your facility to it with a technical limitation, not the quality of its service.

What information is required to estimate the price?

We do not need a long study. Seven pieces of information are enough to prepare a realistic offer, and the more accurate it is, the less likely it is that the offer will change after the project begins — which is the most annoying thing in procurement.

Why do we ask about your current method?

Because moving from paper is different from moving from an existing system: the first is the effort in organization and training, and the second is the effort in migration and conformity. Because knowing what is bothering you today determines what should be activated in the first stage instead of activating everything at once.

Seven items are enough:

  • Facility type: clinic, center, group of branches, platform, or destination program.
  • The number of branches and the expected number of users with their roles.
  • The number of practitioners and services you provide.
  • The top three priorities you want to solve in the first phase.
  • Current management method: Paper, spreadsheets, or existing system.
  • The size and nature of the data to be migrated.
  • The systems you want to connect: payment, accounting, messaging, insurance.

Questions about cost

Three questions that procurement asks before submitting a recommendation.

Are there setup or training fees?
Yes, they appear in the display as separate items not hidden in the subscription. Configuration fees cover setting up your services, templates, and team roles and permissions, training based on the number of trainees, their roles, and sessions, and migration with the size and sources of your data. These are all one-time fees in the implementation phase and do not recur annually. In small facilities, it is limited, and we may recommend reducing it further by migrating only active cases.
Are messaging, video and payment included in the price?
Functions within the system: sending reminders and their templates, managing the video session and its waiting room, receiving payment and matching it to the invoice. As for the actual consumption — messaging fees, video minutes, and payment gateway transaction rate — the costs of third-party providers grow with the volume of your activity, and we show them as a separate line item with an estimate based on your expected operation volume. Hiding it in a packaged price makes the offer seem cheaper and makes your actual bill a surprise.
How does cost change when expanding?
Adding users increases the recurring subscription by number. Adding a setup branch within the system, its cost comes from what comes with it: new users, configuration if its services differ, training of its team, and migration if it was working with a previous system. Enabling additional modules — groupware or integrations, for example — doesn’t require a new project or migrating your data again. We write in the first proposal the cost of the expected scenarios for your expansion so that you know it before you decide on it.
