System implementation, training and data migration
Move to the mental health clinics system with preparation, data migration, training, operation and support services. The most faltering systems projects are not those that bought a weak system, but rather those that bought a good system and then left implementation with no written scope, no clear responsible person, and no criterion for considering the project finished.
Start with facility procedures, not assumptions
Implementation doesn’t start with opening an account but with understanding how your facility actually works. We collect your services, roles, procedures, forms, and policies, and output a setup document for your team to approve before we configure anything in the system. This document is a reference for both parties later in any dispute over scope.
Services
Types of sessions, durations, prices, who provides them, and booking rules for each service.
Roles and permissions
Who sorts, who assigns, who supervises, who approves, and what each role sees of files and reports.
Procedures
Status path from request to close, usual approval points and exceptions.
Forms and templates
Evaluation forms and templates for documenting sessions, approvals, and reports used today.
Policies
Cancellation, No-Show, Refund, Privacy, Documentation Deadline, and Disclosure Limits.
Phase 1 priorities
What should work from day one, and what can be postponed to a later stage.
Domain adoption and scenario testing
After approving the setup document, we configure the system and then test it in front of your team on cases from your work – not on experimental data. The goal is for your team to discover gaps before launch, not after.
Domain approval
What will be activated in the first phase and what will be postponed are signed, so the scope does not remain open and the schedule is not flexible.
Setting
Services, tables, roles, permissions, templates, forms, and reports are built according to the approved document.
Experiment with scenarios
Your team experiences the full path: Book, File, Evaluation, Session, Follow-up, and Invoice — with cases from your business.
Processing and approval
Feedback is processed and retested, then the setup is approved as output before moving on to migration.
Migration, cleaning and verification
Migration is the most dangerous phase of a project because it is practically irreversible after startup. So we implement it in stages, with a trial batch first, and we do not complete it until your team approves its result.
Analysis of sources
Identify your data sources, fields, size, and attachments, and determine what is migrated and what is archived outside the system.
Trial batch
Migrate a limited sample that your team reviews field by field, so coordination issues are caught early and at zero cost.
Cleaning and matching
Standardize formats, detect duplicate files, and address missing fields before full migration.
Migration and verification
A complete migration with a matching report of numbers and samples, for your team to approve before the stage is considered completed.
Migration decisions that save time and money
Not everything you have is worth migrating. These are options we will discuss with you:
- Migrate only active cases, and archive closed ones for reference when needed.
- Migration of metadata and appointments without detailed historical documentation.
- Specify a date range: the last two years, for example, instead of the entire archive.
- Migrate attachments selectively instead of moving all file folders.
- Clean up the duplicate before posting instead of moving it and then processing it later.
Training, operation and support
General training for the whole team is a waste of time. Each role needs just its own, deep enough to work from day one without going back to support at every step.
Reservations, confirmations, waiting lists, check-in, billing, collections and exceptional cases.
File, documentation, assessments, plans, tasks, remote sessions, and modification history.
Assignment, review, approval, action lists, and transfer management.
Reports, indicators, invoices, packages, refunds and export permissions.
What affects the execution time?
We do not give a period before knowing your range, because the promise of an ill-considered period is always broken. What we are committed to is a schedule with approved stages and deliverables in the proposal, and three factors are what actually drive this schedule.
Number of services, templates, approval paths, and exceptions. A hub with two services is much faster than a hub with ten services and multiple supervision paths.
Appears in the Action Analysis phase.A thousand organized files in an existing system are faster than three hundred incomplete paper files. Status is more important than number.
Is estimated after examining a sample of your data.Every external connection adds coordination time with its provider that is not subject to us alone: calculations, approvals, and tests.
Details in Integrations.Questions about implementation and migration
Three questions the project manager asks before signing.
Is it possible to migrate from Excel or an old system?
Who verifies the validity of the transmitted data?
When is the implementation period determined?
Discuss an implementation plan that suits your facility
Send us a description of your procedures, the size of your data, and the systems you want to connect, and we prepare an implementation plan with specific stages, deliverables, and responsibilities for both parties — which is attached to the commercial offer and serves as a reference for project follow-up.
- Written range supported before setup begins.
- A migration that starts with a test batch approved by your team.
- Role-based training and post-launch support.
