The two terms are so similar that many shows use one to mean the other. The result is that a center buys a system thinking that it solves the problem of long waits for appointments, only to discover that what it bought is a screen that organizes those waiting in the hall.
The two functions are different in purpose, user, and value, and you may need one or the other.
The operational situation addressed by the topic
Queue Addresses a request issue: A patron requests an appointment and there is no convenient time within weeks. The problem here is that the request is lost – the reception apologizes and the client goes to someone else, while appointments are canceled every week and remain vacant.
Waiting room Addresses the problem of the visitation day: Who arrived? Who’s his next turn? When does he enter? In remote sessions: Who is waiting for entry permission? The problem here is organizational within the center and not related to demand at all.
The requirements you write for the resource
Write them as two separate items on your list so that one is not answered and the other is counted:
- For queue: Registers the request with its eligibility and preferences, automatically nominates suitable waiters for any vacancy, a response time, prevents more than one person from accepting the same appointment, and reports the unserved request and how long it will remain.
- For waiting room: Check-in, arrange the queue, notify the specialist that his client has arrived, a call screen if necessary, and measure the waiting time inside the center.
- For remote sessions: Virtual waiting room with access from the specialist — a third form that combines the two functions.
A practical example of testing the procedure
- Ask directly: “When you say waiting list, do you mean someone waiting for an appointment or someone waiting in the hall?”
- Register an application with no available appointment, then cancel an appropriate appointment: Was the applicant automatically nominated?
- Patron checked in: Did he appear to the specialist immediately?
- Request two different reports: the waiting time for the appointment, and the waiting time inside the center. If the report is one, then the two functions are mixed.
There is a financial reason for this separation: the two jobs differ in return. The waiting list turns wasted time into direct revenue — every slot fills an additional session. The waiting room improves the experience and organizes the day, and its return is indirect. This difference determines which one deserves priority within your first phase.
Controls and exceptions
- Which one do you need first: If your schedule is full and your appointments are cancelled, the waiting list is more profitable. If there is crowding in the hall and chaos in the floors, then in the waiting room.
- Privacy in the lounge: In psychological centres, what is displayed on the call screen requires special adjustment – see what is permissible to display before activation.
- Do not buy what you do not use: A small center with a quiet waiting room that does not require a call screen or a kiosk.
Next step for system review
Separate the two items in List your requirements, and select which is a priority for your position. And review Queues page For both paths.

We display the two paths separately: a pending nomination for a canceled vacancy, and a patron checks in and notifies their specialist — so you know exactly what you’re buying.
