Training receptionists and specialists on a new system: Scope of work

How do you train your team on the mental health clinics system according to the role? Different training outcomes for receptionist, specialist, supervisor and management with testable completion scenario.

What this guide covers
  1. Scope of work before starting
  2. Steps and responsibilities
  3. What needs to be tested and certified?
  4. Risks and Exclusions
  5. The next step is to prepare the implementation plan

General training for the whole team in one room is easier to organize and less useful. The receptionist does not need to explain care plans, the specialist does not need billing details, and both lose focus when they are explained what does not concern them.

The correct criterion for training is not the number of hours, but the result: Can each person accomplish his daily tasks without assistance? This is tested, not assumed.

Scope of work before starting

Define the roles of your team in practice, not in theory – in small centers one person combines two roles, and this changes the content of his training. Then set one clear output for each role: What should they be able to do after training?

Agree with the supplier on two things: the number of trainees and their sessions, and whether training materials will be delivered that will enable your team to later train new employees themselves. The second saves a lot with repeat hiring.

Steps and responsibilities

Each role has a different director and completion scenario to be tested on:

  • Receiver: The director has to complete a full day’s work: creating a file, booking an appointment, checking in, processing a cancellation, filling a slot from the waiting list, issuing an invoice and collecting it. Scenario: Five consecutive unassisted stops.
  • Specialists: The director must document an entire session, build a plan, assign a task, and book a follow-up. Scenario: Session from start to adoption in the usual time of a real session.
  • Moderators: The output is to assign a case, review documentation, and view lists of what needs action. Scenario: Review three notes and repeat one with notes.
  • Management and Finance: The output is to extract monthly reports and review receivables and balances. Scenario: Preparing a report that you actually submit to management.

What needs to be tested and certified?

Do not approve training with an attendance signature. It was adopted with an achievement test: each trainee sits down and carries out his role scenario himself, and what he stumbles upon is recorded. What more than one person is tripping over is not a training issue but a setup issue — check with your provider before launching.

  • Did he complete each scenario role without assistance?
  • How long did it take to complete the project compared to what was expected after getting used to it?
  • What steps required a question? Does it happen to everyone?
  • Does every trainee know how to request support and where to find training materials?

Risks and Exclusions

  • Very early training: Training one month before launch to forget. Make it close to the operating date.
  • Training on experimental data: Training with the center’s services and real templates is much better than general examples.
  • Negligence of those who did not attend: An employee on training day leave will become a weakness. Plan a make-up session.
  • Failure to train newcomers: Six months later you will have employees who showed up for nothing. Request materials you have left.
  • Download training What is not of it: The team’s rejection of an administrative action is not a lack of training. Treat the cause, not the symptom.

Designate someone on your team as the internal reference — the one who knows the system the most and whom colleagues ask before contacting support. Choose him from the operational team, not management, and give him additional training time. Having this person reduces the stress of the first weeks and speeds up team adoption more than any additional training session.

The next step is to prepare the implementation plan

Write down your team roles and the training deliverable for each role, and send them with the request for proposal so that training can be estimated. And review Implementation and training page For the rest of the transition stages.

Discuss your project requirements

We prepare training based on the role on your services and real templates, and it ends with an achievement test, not a signature of attendance – with materials that you will have left over to train those who join later.
