PsychFlow Mental Health Clinic & Counseling Management System

Is the number of sessions sufficient to evaluate the success of the counseling system?

How do you measure the success of the psychological counseling system? Separate productivity, quality, completeness and user experience indicators from professional outcomes.

What this guide covers
  1. The operational situation addressed by the topic
  2. The requirements you write for the resource
  3. A practical example of testing the procedure
  4. Controls and exceptions
  5. Next step for system review

The easiest indicator to offer to management is the number of sessions, which is the weakest indicator of the success of the system. A center that doubles his sessions by shortening their duration and exhausting his team is not successful – rather, he is using up his balance.

The operational situation addressed by the topic

After six months of operation, the question is: Has the project succeeded? A single number answer is always misleading — because any single number can be improved at the expense of others.

The requirements you write for the resource

Ask for indicators from four families, and look at them together, not individually:

  • Productivity: Number of sessions, occupancy, filled vacancies, and non-attendance percentage.
  • Quality and discipline: Documentation time, percentage of observations approved within their deadline, and supervision review commitment.
  • Completion: The percentage of episodes closed with a result, the percentage of those who completed the pre- and post-measurements, and the pending cases.
  • User Experience: The number of steps for repetitive tasks, the percentage of team usage, and the amount of reliance on side tools.

And the Fifth Family — Professional results — Read with caution and with professional knowledge: the change in evaluation results is not an indicator of the success of a system, but rather professional information about cases, and should not be attributed to a program or tool without a specialist reading.

A practical example of testing the procedure

  • Order a board that combines one indicator from each family: can it be built?
  • Compare it with the baseline you recorded before running.
  • Look for inconsistencies: High productivity with low documentation quality is a risk indicator, not a success.
  • Ask your team directly: Are any of you working on a side schedule? And why?
  • Review indicators quarterly, not monthly — real change takes time.

Controls and exceptions

  • No single indicator: Any single number can be improved over others — and the composite reading alone reveals that.
  • Team Primary Source: Satisfaction of those who use the system daily is an indicator that does not appear in any report — ask him.
  • Professional results are not a performance indicator: Use it to evaluate a system or specialists professional error before it is a statistic.
  • Failure may not be in the system: May be in preparation, training, or procedures — diagnose before replacing.

Next step for system review

Choose an indicator from each family now, and record its value before running. See Reports and indicators page.

We show the indicators of the four families together, so the picture reads as a composite, not a single number that is easy to improve at the expense of others.
