Request a report on one of the most sensitive situations in the psychological counseling center. It may be requested by the client himself, a guardian, an employer, an educational institution, or a party to a family dispute. Each case differs in who is entitled to request and what is included.
A system that allows printing a report with a click without an approval path exposes your center to situations that cannot be reversed.
Why is this requirement included in the purchasing decision?
Because the report is a document that leaves the system’s protection and is in the hands of another party. Once delivered, it cannot be returned. It therefore must go through a process of: application, student eligibility review, scoped preparation, authorized approval, and recorded delivery.
This path protects the client, protects the specialist from pressure that may fall on him, and protects the center during any review.
What should the scope cover?
- Register order: Who is ordering, for what purpose, and to whom it will be delivered — before preparation begins.
- Eligibility Verification and Approval: Does the student have the right to request? Is there an applicable consent that includes this disclosure?
- Content range: What is expressly included and excluded — An attendance report is different from a status report.
- Preparation and approval: Prepared by the specialist and approved by the authorized person in accordance with your policy prior to issuance.
- Delivery record: Who received it, when and in what format, saved on file.
- Archived copy: Of the report exactly as it was issued, so there is no later disagreement on its content.
- Supported molds: For recurring types of reports, in a format approved by your center.
Checklist in demo
- Create Report Request: Were the purpose and recipient requested before setup?
- Attempt to issue a report without valid approval: Has the system stopped the path?
- Approved report: Does it require specific authority? Who appeared as approved?
- Open file: Is the report issued, received, and date shown?
- Request a report with limited scope — attendance only: Can you adjust what’s included?
- Try receiving account: Can it issue a status report? Expected: No.
Limits that need to be adopted
- Content of the report is professional: What is written is the decision of the specialist and supervisor, and the system provides the template and path, not the wording.
- Family cases: A party requesting a joint status report requires a pre-written policy — see Family guidance page.
- Third-party requests: The entity’s request is not sufficient; Client consent is required to include disclosure.
- Withdrawal of consent: Stops the new version, does not restore what was delivered — but confirms when the permission was in effect.
- No automated reports: The system does not issue a status report without an approved human decision, no matter how much data is available.
The next step is to document the requirements
Write down your reporting policy: who requests, who approves, and what applies to each type. Send it with your requirements. See Approvals and document sharing page.
