Many systems treat the guardian as full owner of the file: he holds, pays, and reads everything. This is appropriate for a six-year-old, and inappropriate for a seventeen-year-old—the difference between them is not a technical detail but the essence of the therapeutic relationship.
What does buyer need to check?
The guardian’s permissions are separated into independent levels, each of which can be controlled: booking and scheduling, finance, approvals, documents, and professional content. These levels are subject to change according to age group, professional decision, and regulatory authorization.
Data, authority and responsibility questions
- Is it possible for the guardian to be granted reservations and payment without reviewing the content of the sessions?
- How do the permissions change with the age group of the client? Is the change automatic or by decision?
- Who decides what is available to the guardian – the system by default or the professional team?
- How is legal authorization recorded in cases of custody or guardianship?
- What happens when there are two guardians with different or conflicting permissions?
- Does the guardian’s knowledge appear in the audit log?
- Is it possible to restrict the authority of a specific guardian by a documented professional decision?
Required documents and tests
- Create a guardian account for a minor client: What does he see by default?
- He tried to open a session authentication with his account: Was he blocked?
- Change the age group of the client: Have the permissions changed? And how?
- Add a second guardian with different permissions: Does the system support this?
- A guardian’s authority has been restricted by a professional decision: Was a reason and authority requested?
- Review the audit log: Was the guardian informed?
The decision in this file is purely professional: what is available to the guardian serves the interest of the client and preserves the therapeutic relationship together. A teenager who knows that everything he says will reach his parents will not say anything, and a parent who does not know anything will not be able to support his son. The balance between them is determined by your team for each case, and the system implements what you decide, not what it assumes.
What are general promises not enough for?
- “There is an account for the guardian”: The question is what he sees in him, not his existence.
- Full validity by default: Common and dangerous setting — Professional content should be blocked by default and opened by resolution.
- «can be adjusted manually»: Manual adjustment for each condition is forgotten under pressure. Order default rules by category.
- Ignoring complex cases: Custody disputes are a reality in family counseling centers — ask openly about them before you confront them.
