PsychFlow Mental Health Clinic & Counseling Management System

Manage educational content and exercises within the consulting system

How are educational materials and exercises administered in the psychological counseling system? Rights to the material, approving it, assigning it to the client, and following up on its use.

Many specialists send materials to their clients: an exercise sheet, an excerpt, or a summary. This is usually done through personal channels with no record, no accreditation, and no knowledge of who received what — which loses its impact and creates unchecked liability.

Managing this material within the system solves three problems: regulation, professional accreditation, and rights to the material itself.

Why is this requirement included in the purchasing decision?

Because whatever arrives to the client in the name of your position represents your position. Material sent by a specialist from an unknown source may be in violation of the rights of its publisher, inappropriate for the client’s condition, or inconsistent with what his colleague says in the next session.

The register is also useful professionally: knowing what has been assigned to each client and when to make the next session start from a known point.

What should the scope cover?

  • Material Library for the Centre: Organized by category, service, and age group, no separate files for each specialist.
  • Approved before availability: Every item you approve is authorized by you before it becomes assignable.
  • Registration of the source and rights of the material: Who prepared it, where was it taken from, and what was its use?
  • Attribution to the client: Is associated with a goal in the plan, and is visible in its portal.
  • Follow usage: Have you seen it? Did he make a note of it? – A simple indicator that helps the specialist.
  • Article Versions: Updating the material does not change what was previously posted.

Checklist in demo

  • Add an item to the library: Has its source and rights been requested?
  • Try to attribute it before approving it: Was it banned?
  • Assigned it to a client related to a goal: Did it appear in his portal and in his plan?
  • Open the client file: Does it show a record of what was assigned to him and when?
  • Update the item: Has the version he previously received changed? Expected: No.

The accumulated benefit appears over time: an organized and accredited library becomes an asset for your center – every new specialist benefits from it instead of building his own collection from scratch, and the message that reaches your clients is unified no matter how many people you serve.

Limits that need to be adopted

  • Material rights: Use of protected published material requires permission from its publisher. The system provides a field for registering rights and obligations on your facility.
  • Professional Accreditation: The content that reaches the client is approved by your specialist – and the system does not provide or suggest therapeutic content.
  • Fitment Case: Assigning material is a professional decision for each case, not a mass submission to everyone in a program.
  • No cross-material diagnosis: The material supports what is happening in the session, does not replace it, nor is it used as a substitute for professional communication.

The next step is to document the requirements

Collect the materials your team uses today, and review their sources and copyrights before entering them. See Plans and Tasks page.
