The package is a commercial agreement: eight sessions at a specified price and a specified validity. The plan is a professional decision: objectives, tasks, and review stages may change as the case progresses. When the system confuses the two, the professional decision becomes governed by what the client paid — a structural mistake that should be avoided.
Why is this requirement included in the purchasing decision?
Because confusion results in bad situations: a plan is closed because the package has expired even though the case requires follow-up, or sessions are consumed without a clear plan because the package is paid. Both situations harm the client and the centre’s reputation.
The correct separation makes each party play its role: the specialist decides what the case needs, the management manages the commercial agreement, and they meet at one point – notifying when the balance is about to run out so that an informed decision can be made.
What should the scope cover?
- Two independent entities: A plan that has its goals and reviews, and a package that has its balance and validity.
- Plan without package: Enabled — Free or session-paid service.
- A package that serves more than one episode: Or vice versa, depending on your policy.
- Alert no turn off: When the balance is about to run out, the team is alerted, and the plan is not automatically closed.
- Review the plan according to professional standards: After a number of sessions or a period determined by the practice, not at the end of the package.
- Balance clarity for both parties: The client sees his remaining, and the specialist sees the plan’s status — each in its place.
Checklist in demo
- Create a plan without a package: Does the system work?
- The full package balance was consumed and the plan is still active: Was it automatically closed? Expected: No, but a warning.
- Review the plan and modify its objectives: Has the package been affected? Expected: No.
- Open the Specialist screen: Does the plan status appear without confusing financial details?
- Open the Finance screen: Do the package and balance appear without the plan content?
This chapter also affects reporting: the finance report measures packages, balances, and collections, and the quality report measures closed loops, plan reviews, and evaluation results. Mixing them in one painting makes each reader extract from it what serves his or her angle – and the decision is lost between them.
Limits that need to be adopted
- The decision to continue professionally: Expiration of the package is not a reason to terminate the service, nor is the presence of a balance a reason to continue it.
- Post-balance exhaustion policy: Write it in advance: renewal, transfer to another track, or closure by professional decision.
- No commercial pressure on the specialist: Displaying package selling indicators on the specialist screen mixes the roles — keep them in management scope.
- Clarity to the client: He should know the difference: his career plan is one thing, his financial balance is another.
The next step is to document the requirements
Write in your requirements: “Separation of the care plan from the session package with warning, not stopping.” See Packages page AndPlans page.
