Confirmation is not a message sent but an action with a result: Has it arrived? Did the client respond? What do we do if he doesn’t answer? A system that sends messages without tracking their status gives you a feeling of security and nothing more.
Channels have a cost that grows with your activity, so choosing them is both an operational and financial decision.
The operational situation addressed by the topic
Center calls to confirm each appointment: This consumes hours of reception time each day, and only reaches a proportion of clients. A center that sends messages without follow-up: it does not know who received it and who did not, nor who responded.
What is needed is a middle ground between them: automated sending with tracking, and a list of those who have not confirmed to be followed up manually — so the receiving effort is focused on those who really need it.
The requirements you write for the resource
- Adjustable Arabic Templates: A different text for each appointment type, written by your facility, not a ready-made text.
- Adjustable durations: Confirmation when booking, and a reminder at the time you specify — and two days before the appointment is different than two hours.
- Transmission status recording: Sent, arrived, failed. Without this you can’t follow anything.
- Receiver Reply: Confirmation or request for postponement from the client, and its impact on the appointment status.
- List of unconfirmed: A screen that displays those who did not respond well before the appointment, so you can follow up with them by phone.
- Text privacy: The letter must not reveal the type or reason for the service — an important detail in psychological services.
- Multichannel: The ability to choose the channel according to the client’s preference or the type of message.
A practical example of testing the procedure
- Book an appointment and verify that the confirmation message actually arrives on a real mobile phone.
- Open appointment history: Does the message status appear or just “sent”?
- Request to view the list of unconfirmed appointments for tomorrow.
- Edit the template text and resubmit: Is it possible for you to edit or does the provider need it?
- Check the text of the message: Does it mention the name of the service or any detail that is preferable not to be revealed?
- Ask for an estimate of the monthly number of messages and their cost with your center numbers.
He distinguished between three different messages that many people confuse: Confirmation Is sent upon booking and confirms the appointment, andReminder Is sent earlier and reduces forgetfulness, andConfirmation request Requesting a physical response. Each has a purpose, timing, and cost, and sending all three to every appointment may be an inconvenience rather than a service.
Controls and exceptions
- No response is not a rejection: An appointment is not canceled because the client has not confirmed. Automated cancellation based on silence. A hasty decision loses you patrons who actually attended.
- Communication preferences: Some clients prefer not to receive messages on a shared mobile phone. Respect that and put it on file.
- Channel limits: The confirmation channel is not a consultation channel. This was announced in the text of the message itself.
- Cost when growing: Double appointments double messages. Review the estimate annually.
And measure the impact after activation, not before: record the percentage of non-attendance in the month before activation, and compare it three months later. This number alone justifies the cost of the channel or prompts you to review the timing and text of the reminder — reviewing data that is more useful than any general recommendation.
Next step for system review
Calculate your number of monthly appointments x number of messages per appointment, and request a cost estimate based on that. And review Integrations page To find out who contracts with the channel provider and who bears its fees.
