Diaries within the client app: When do they add operational value?

When do diaries within the client application add actual value? Determine what is collected, who reviews it, and when, without the promise of constant monitoring.

Diaries are an attractive feature of the offerings: the client records his sleep, mood and thoughts daily, and the therapist sees the pattern before the session. It is actually beneficial when used intentionally — and harmful when opened unruly.

There are two types of harm: data accumulates and no one reads it, and the expectation on the part of the client that what he writes will be read immediately after writing it.

Why is this requirement included in the purchasing decision?

Because the issue is not technical, but operational and professional: Who will read these recordings? And when? And what does he do with it? If the answer is not clear before activation, you will open a door that you cannot easily close.

What should the scope cover?

  • Determine what to collect: Short structured fields determined by the specialist for each case — no open notebook for no purpose.
  • Link to target: Daily is a means of measuring an objective in the plan, not an independent activity.
  • Specific duration: It is activated for a period related to the treatment phase and then reviewed, not forever.
  • Review time: The summary is displayed to the specialist before the next session, not as daily alerts.
  • Organizer Display: Trend over the period No Long text list that is difficult to read.
  • Clear text to the client: Explains when his recordings are reviewed and who reads them.

Checklist in demo

  • Activate a diary for a case: Is it linked to a goal in the plan and has a duration?
  • Record a week of data: how to present it to the specialist – consecutive texts or structured trend?
  • Open the session screen: Does the diary summary appear without searching?
  • Review the portal text: Does it make it clear to the client when his or her records will be read?
  • Stop diary: Is previous data left in the file?

The question that determines feasibility: Will what is gathered change a professional decision? If the therapist is going to adjust his or her exercise plan based on the sleep pattern recorded, a diary is useful. If it will be read without a trace, it will be a burden on the client and a worthless store. Enable it for the cases you serve, not as a default option for everyone.

Limits that need to be adopted

  • No promise of continuous monitoring: This is the most important point in this topic. The diary is not displayed as a channel in which the client can be monitored in real time. Make it clear to him that what he writes will be reviewed on specific dates, and direct him to your approved path if he needs urgent assistance.
  • No automatic text analysis: The system does not extract a clinical assessment or alert from the client’s writings. Reading is completely professional.
  • The activation decision is professional: Not every case is suitable for a diary, and some may become more preoccupied with their symptoms. The decision is up to the specialist.
  • Content Privacy: What the client writes is part of his file, subject to the same permissions and is not presented to a guardian except by a professional decision.

The next step is to document the requirements

Decide before activation: what is collected, who reviews it, when, and what text is displayed to the client. See Client portal page.

We display the diaries as the client sees them and as they reach the specialist, and we review with you the text that explains the limits of the review.
