Freezing or extending a session package: How do you document the policy in the system?

How are requests to freeze or extend session packages managed? The person authorized, the reason, the validity date, and the impact of the decision on reservations and entitlements.

Freezing requests are common and legitimate: travel, health condition, or temporary preoccupation. It is also one of the biggest sources of financial dispute when it is managed with courtesy: it is frozen for this and rejected for that, and then the administration discovers packages that have been frozen for a year without a written decision.

The operational situation addressed by the topic

A client has a package with a validity of three months, of which he has consumed half, and requests to freeze it for a month for his travel. Questions that need an immediate answer: Is he entitled? How many times is it allowed? Who agrees? What happens to his booked appointments? When does the new validity expire?

The requirements you write for the resource

  • Freeze request due to: Is recorded and not executed directly by any user.
  • Validity of accreditation: An authorized person consents, and his name and date are recorded.
  • Declared limits: Number of freezes allowed and maximum duration — set by the system according to your policy.
  • Obvious effect on validity: Automatically extend the end date by freeze duration.
  • Impact on reservations: What happens to appointments booked during the freeze period — are they canceled or remain? A decision that is made and not abandoned.
  • Case phenomenon: The package is clearly “frozen”, so reception is not blocked by mistake.
  • End Freezing: Automatically on time or manually upon request by the client.
  • Report: The frozen packages, their extensions, and those who approved them.

A practical example of testing the procedure

  • Request a freeze: Was a reason and duration requested? Do I need accreditation?
  • Check the expiration date after approval: does it extend for the same period?
  • Tried to book an appointment on the frozen package: Was it clearly prohibited?
  • Freezing limit exceeded: Did the system alert or prevent?
  • End freeze early: Is the validity restored to the correct account?
  • Request a report on currently frozen packages.

And review the frozen packages report quarterly. Accumulating it without follow-up means a deferred financial obligation on your center, the size of which you do not know – and clients whose follow-up was stopped without a professional decision. The review usually ends with three decisions: appeal, settlement, or documented closure.

Controls and exceptions

  • Exceptional circumstances: Any policy needs an exception door with higher authority and a recorded reason — and periodic review reveals whether the exception has turned into a rule.
  • Cases related to the service itself: Some reasons for freezing are related to the status of the client. Leave the specialist some say regarding continuity of follow-up.
  • Impact on the plan: Freezing a package is a financial decision, and stopping follow-up is a professional decision — one does not automatically entail the other.
  • Declaration Policy: Mention the freezing conditions when selling the package, as the unannounced policy is difficult to implement.

Next step for system review
