PsychFlow Mental Health Clinic & Counseling Management System

Institutional entry into the clinic system: When does the entity need it?

When does an entity need unified entry into the clinics system? The cycle of creating and stopping users and managing access via the entity’s identity.

Single sign-on is not a password facility but a security check: When an entity employee leaves his job, his access to all systems ends at the same moment — including the clinic system.

This makes it a requirement for large entities, and often unnecessary for small centres.

Why is this requirement included in the purchasing decision?

Because the most common vulnerability in systems is not a hack but an active account of a departed employee. In an organization with five employees, this is easily managed manually, and in an organization with a hundred users and constant change, this requires a mechanism.

What should the scope cover?

  • Login with entity ID: No separate password for the clinic system.
  • Automatically terminate access: Immediately after the account is suspended in the entity’s system.
  • Linking roles: Are permissions granted automatically from the entity’s groups or are they set within the system? The second is more professionally accurate.
  • What does not move: Client data does not affect this link at all — it is limited to the identity of employee users.
  • Replacement when broken: A backup login path for at least one authorizer if the identity service goes down.
  • Auditing: Log in and out in the system registry, not in the entity registry only.

Checklist in demo

  • Log in with the party’s account: Did you run the experiment without an additional password?
  • The account was suspended in the entity’s system: Did access end immediately?
  • Change the user group: Have his permissions in the system changed? Is this what you want?
  • Identity service failure simulator: What is the alternative?
  • Review the audit log: Are accesses visible?
  • Ask: What identity standards are supported? What is the classification and evaluation of this connection?

If your organization is not large, a simple alternative is sufficient: a written procedure for terminating access within the employee termination steps, and a quarterly review of the list of active users. This achieves the same purpose without the cost of connecting — the important thing is that the action is present and implemented, not necessarily automated.

Limits that need to be adopted

  • Professional permissions within the system: Don’t leave who sees professional content to admin groups — they’re built for other purposes.
  • Does not affect clients: Patron Portal Completely separate entry system.
  • Account cycle responsibility: Creating and stopping accounts is your responsibility, and the system responds to it.
  • Is not a substitute for review: Review who owns what periodically even with linking.

The next step is to document the requirements

Ask your IT which identity standard is used, and send it with your requirements. See Access management page.

Discuss your project requirements

We explain what enterprise access the system supports and what remains configured within it, and estimate the connection after examining your environment.
